Wedding Photography Terms & Conditions
Effective from: 27 August 2026
These Wedding Photography Terms & Conditions apply to wedding photography services provided by Philipp Ammon Photography (“the Photographer”).
These terms should be read together with the Photographer’s General Terms & Conditions and the quotation or booking confirmation applicable to the wedding.
Where there is a conflict, terms expressly agreed in writing for a particular booking will take precedence.
1. Booking and Reservation of the Date
A wedding booking is confirmed once the Client has accepted the applicable quotation or booking agreement and the required initial payment has been received.
Unless otherwise agreed, an initial payment equal to 50% of the agreed photography fee is required to secure the wedding date.
The initial payment forms part of the total photography fee and is not an additional charge.
2. Final Payment
Unless otherwise agreed in writing, the remaining balance is due no later than four weeks before the wedding date.
The Photographer is not required to provide wedding photography services where the agreed balance remains unpaid after the due date.
Any additional photography time, expenses or other services agreed after final payment may be invoiced separately.
3. Cancellation by the Client
Cancellation must be communicated to the Photographer in writing.
Where the Client cancels a confirmed wedding booking, the Photographer reserves the right to charge up to the following proportions of the total contracted photography fee:
More than 6 months before the wedding: up to 10%.
Between 3 and 6 months before the wedding: up to 25%.
Between 1 and 3 months before the wedding: up to 50%.
Less than 1 month before the wedding: up to 100%.
Any amount already paid in excess of the applicable cancellation charge, together with any reasonable costs, expenses or work properly chargeable under the booking, will be refunded to the Client.
Cancellation charges are intended to reflect the Photographer’s work undertaken, costs incurred and the loss of opportunity resulting from reserving the wedding date.
Where the Photographer is subsequently able to secure an equivalent replacement booking for the cancelled date, this may be taken into account when determining the final cancellation charge.
The Photographer may waive or reduce a cancellation charge where circumstances reasonably justify doing so.
Nothing in this section affects any statutory rights the Client may have.
4. Postponement and Rescheduling
If the Client wishes to postpone or change the wedding date, the Photographer should be informed as soon as reasonably possible.
Where the Photographer is available for the replacement date, the Photographer will normally endeavour to transfer the booking and payments already made to the new date rather than treating the change as a cancellation.
Any replacement date is subject to availability and is not secured until confirmed by the Photographer in writing.
Where the Photographer is unavailable for the replacement date, the change may be treated as a cancellation, subject to Section 3 and the circumstances of the booking.
Where postponement or rescheduling causes the Photographer additional costs or requires a material change to the agreed services, travel or coverage, the quotation may be revised accordingly.
5. Photography Coverage and Schedule
The agreed photography start time, finish time, locations and scope of coverage will be stated in the quotation or booking confirmation.
The Client is responsible for providing the Photographer with reasonably accurate timings and relevant schedule information before the wedding.
The Photographer will make reasonable efforts to accommodate ordinary variations and delays during the wedding day.
However, delays to the ceremony, reception, transport, speeches, meals, preparations or other parts of the wedding do not automatically extend the agreed photography coverage.
Where the Photographer is available to remain beyond the agreed finish time, additional photography time may be provided at the Photographer’s applicable rate.
6. Changes to the Booking
The quotation is based on the information, locations, timings and requirements supplied by the Client at the time of booking.
Material changes to the wedding date, locations, coverage hours, travel requirements or other aspects of the agreed services may result in a revised fee.
Where the scope of coverage is materially reduced, the Photographer may reduce the final fee where appropriate, subject to any applicable cancellation charges, work already undertaken or costs incurred.
7. Travel and Accommodation
Travel, accommodation and other expenses included within the agreed photography fee will be stated in the quotation where applicable.
Where additional travel, accommodation, parking, transport or other necessary expenses arise because of changes to the agreed locations, timings or requirements, these may be charged separately.
Where overnight accommodation is reasonably necessary for the Photographer to provide the agreed services safely and reliably, this will normally be agreed with the Client in advance.
8. Meals and Breaks
For wedding coverage exceeding six hours, the Client should arrange for the Photographer to receive a suitable meal.
Where possible, the meal should be provided at approximately the same time as the wedding party and guests are eating, allowing the Photographer to take a reasonable break while significant photographic activity is unlikely to occur.
For extended coverage, the Photographer may take reasonable short breaks when the wedding schedule permits.
9. Wedding Schedule, Formal Photographs and Shot Requests
The Photographer will generally document the wedding in a candid and observational manner while also providing formal portraits and group photographs where appropriate.
The Client should provide details of essential formal group photographs, important people and any particular photographic priorities in advance.
Where practical, the Client should nominate a member of the wedding party who knows the relevant guests and can assist with identifying and gathering people for formal photographs.
The Photographer will make reasonable efforts to accommodate requested photographs. However, wedding photography takes place in a live and changing environment, and no individual photograph, person, expression, interaction or moment can be unconditionally guaranteed.
Shot lists and photographic requests are treated as guidance rather than a guarantee unless a particular requirement has expressly been agreed in writing.
10. Photographic Style and Artistic Discretion
By commissioning the Photographer, the Client acknowledges that they have had the opportunity to review the Photographer’s portfolio and are commissioning the Photographer based on his photographic style and professional approach.
The Photographer retains professional discretion over composition, lighting, positioning, equipment, lens choice, timing, image selection, editing and other creative decisions.
The Photographer will use reasonable skill and care to produce a body of work consistent with his portfolio while responding to the circumstances, locations, lighting and events of the wedding day.
Differences resulting from weather, venues, available light, schedules, subjects and other circumstances do not in themselves constitute a failure to provide the agreed services.
11. Venue, Ceremony and Access Restrictions
The Photographer is subject to reasonable restrictions imposed by venues, registrars, celebrants, religious officials, security personnel and other authorised persons.
Such restrictions may affect where the Photographer may stand, whether photography is permitted during particular parts of a ceremony, whether flash or lighting may be used, and the photographs that can reasonably be produced.
The Client is responsible for confirming that photography is permitted at the relevant venues and for communicating any known restrictions to the Photographer.
The Photographer will not be responsible for photographs that cannot reasonably be obtained because of restrictions imposed by a venue, officiant or other authorised party.
12. Weather and Environmental Conditions
The Photographer cannot guarantee particular weather, lighting or environmental conditions.
Where weather prevents or limits outdoor portraits or other planned photographs, the Photographer will use reasonable professional judgement to adapt the photography to the available conditions.
The Photographer will not be required to undertake photography in conditions that, in his reasonable judgement, present an unacceptable risk to people or equipment.
13. Guests, Other Photographers and Videographers
The Photographer cannot be responsible for missed or compromised photographs resulting from interference, obstruction or lack of cooperation by guests, members of the wedding party, venue staff, videographers, content creators or other photographers.
The Client should inform the Photographer in advance where another professional photographer, videographer or content creator will also be working during the wedding.
The Photographer may reasonably request that another person temporarily move, stop photographing or otherwise avoid interfering where their actions are materially affecting the Photographer’s ability to produce the agreed work.
Guests are welcome to take photographs provided this does not materially interfere with professional coverage.
14. Guest and Subject Cooperation
The Photographer will make reasonable efforts to photograph the people and moments identified as important by the Client.
The Photographer cannot guarantee photographs of individuals who are unavailable, unwilling to participate, leave before photographs can be taken, fail to attend at an agreed time or otherwise do not reasonably cooperate.
15. Image Selection, Editing and Retouching
The Client will receive the Photographer’s curated and edited selection of final wedding photographs.
The Photographer retains professional discretion over which photographs form part of the final gallery. Duplicate, test, missed, technically unsuitable or otherwise unselected photographs are not included.
RAW, unprocessed and rejected photographs are not included in the wedding package and will not normally be supplied.
Standard editing includes the Photographer’s normal colour, exposure, contrast, cropping and other general photographic adjustments.
Extensive cosmetic retouching, body or facial alteration, compositing, object removal or other substantial image manipulation is not included unless specifically agreed and may incur an additional fee.
16. Image Delivery
Unless otherwise agreed, the Photographer will normally aim to deliver the completed wedding gallery within approximately 4–6 weeks of the wedding.
This timeframe is an estimate rather than a guaranteed deadline and may vary depending on workload, season, the size and complexity of the wedding, and circumstances outside the Photographer’s reasonable control.
Where preview photographs or an early selection have been agreed, these do not constitute final delivery of the wedding gallery.
Once the final gallery has been delivered, storage and archiving are subject to the Photographer’s General Terms & Conditions.
17. Wedding Photography Licence
Copyright in the photographs remains with the Photographer in accordance with the General Terms & Conditions.
Unless otherwise agreed, the Client receives a perpetual personal-use licence to the delivered wedding photographs.
This licence permits the Client to download, store, print and reproduce the photographs for personal use, share them with friends and family, and publish them on the Client’s personal social-media accounts.
The personal-use licence does not permit resale, commercial advertising, merchandising, stock-library distribution or other commercial exploitation of the photographs.
Wedding suppliers, venues, planners, florists, designers, publications, brands and other businesses do not automatically receive commercial usage rights merely because photographs have been supplied or shared with them by the Client.
Where a third party wishes to use photographs commercially or promotionally, they should obtain permission and, where applicable, an appropriate licence from the Photographer.
18. Portfolio and Promotional Use
Unless the Client requests otherwise in writing, the Photographer may use selected wedding photographs for his portfolio, website, social media, exhibitions, competitions, publications, awards and other reasonable self-promotional purposes.
The Photographer will make reasonable efforts to respect requests concerning particularly sensitive or private photographs.
Where the Client does not wish wedding photographs to be used publicly by the Photographer, this should be communicated in writing.
Any agreed restriction on portfolio or promotional use will not affect the Client’s photography package or the Photographer’s commitment to the booking.
19. Photographer Illness, Injury or Emergency
In the unlikely event that serious illness, injury, emergency or another circumstance beyond the Photographer’s reasonable control prevents him from photographing the wedding, the Photographer will inform the Client as soon as reasonably possible.
Where appropriate, the Photographer will make reasonable efforts to identify a suitably experienced replacement photographer, subject to the Client’s agreement.
Where the Photographer is unable to perform the agreed photography services and no suitable replacement arrangement is agreed, photography fees paid for services that cannot be provided will be refunded.
20. Image Loss or Technical Failure
The Photographer will take reasonable professional precautions in the capture, handling, backup and processing of wedding photographs.
In the unlikely event of significant image loss or technical failure, any remedy or liability will be determined in accordance with the Photographer’s General Terms & Conditions and applicable law.
21. Conduct and Safety
The Photographer will not tolerate threatening, abusive, harassing, aggressive or unsafe behaviour directed towards the Photographer or anyone assisting him.
Where reasonably possible, the Photographer will attempt to resolve an issue before suspending coverage. Where behaviour presents a significant or immediate safety concern, the Photographer may suspend or terminate photography and leave the venue where reasonably necessary.
The Photographer will not be responsible for coverage missed as a result of such circumstances.
22. Application of General Terms
All other matters, including copyright ownership, AI use and alteration, expenses, confidentiality, storage and archiving, liability, circumstances beyond the Photographer’s control and governing law are subject to the Photographer’s General Terms & Conditions unless expressly varied by these Wedding Photography Terms or by written agreement for the booking.
Nothing in these Wedding Photography Terms affects the Client’s statutory rights as a consumer.
